The West Vancouver Foundation (WVF) is a community foundation, founded in 1979 by a group of local residents that wanted to inspire and steward local philanthropy. As a community foundation, we understand the North Shore – from the local issues and needs to the people and organizations doing the best work to address these issues. The past 46 years, WVF has granted over $16 million into the community. We are seeking nominations for individuals, with a passion for community-building, to volunteer at the Foundation. Part-time Finance and Grant Coordinator
POSITION OVERVIEW
This role will split their time between finance administration and coordinating the major grant programs. We require someone with strong administrative skills, experience in finance/bookkeeping, excellent communication skills, client relations skills and exceptional project management abilities. Experience with the non-profit industry and granting is an asset.
The ideal candidate is self-motivated with analytical skills, is happy to work on day-to-day tasks including fund administration functions. In addition to this, this role will manage the large grant programs, working with volunteers, charities from across the North Shore, and donors.

GENERAL RESPONSIBILITES
Finance Administration
- Input and management of day-to-day bookkeeping and accounting records using a fund (project)-based approach.
- Maintain accounting records electronically and physically as required
- Prepare CRA charitable tax receipts according to regulations.
- Prepare reports for annual audit and semi-annual GST returns.
- Track fund balances and distributions, and translate into accounting records (reconciling changes in investments and changes in donor funds).
- Prepare monthly fund holder statements
- Assist in preparing reports for annual budgeting
- Stay up-to-date on CRA rules as they impact the Foundation and in particular, receipting, donations, specified gifts and fund accounting.
- Provide support to the Co-Executive Director, Finance; the Treasurer; and the Finance and Investment Committees. Assist in providing quarterly board reports.
- Assist the Co-Executive Director, Finance with the preparation of fund agreements as required.
Grant Coordinator
Coordinating an innovative and accessible granting program. Responsible for coordinating all aspects of the granting cycles, including but not limited to:
- Ongoing assessment and improvement of grants program, including updating guidelines, application forms and processes
- Transparent reporting throughout full cycle of grantmaking
- Coordinate, facilitate and plan Grant Committee meetings and volunteer members
- Work with marketing to develop and implement communications and engagement plan to attract high quality grant applications
- Outreach to local charities and non-profits
- Manage the grants’ administration such as keeping the grant portal up to date, running reports, working with grantee reports to provide updates to funders and other related work.
- Work with donors on their granting.
- Assists with Foundation events as needed and other duties as assigned.
COMPETENCIES
The position requires a highly organized individual with excellent communication skills, client relations, technical/software skills, and office administrative experience.
- Results-oriented with proven expertise in financial reporting, automated financial systems, compliance, following procedures for internal controls, designing and implementing processes to increase the efficiency of a growing organization.
- Rigorous and analytical thinking, able to balance the big picture and maintain necessary attention to detail.
- Strong attention to detail.
- Excellent communication skills including written, presenting and when dealing with clients, partners and other stakeholders.
- Self-disciplined, self-starting style, accustomed to working independently.
- Strong proficiency in office technology.
- Passion for community service and the charitable sector.
EXPERIENCE AND EDUCATION
- Three years or more in progressive accounting and/or bookkeeping.
- Working knowledge of Foundant Community Suite (Grants Lifestyle Manager) or other online granting solutions is an asset.
- Project management and/or events.
- Experience in the non-profit industry.
- Familiar with the North Shore. Ideally living in West Vancouver, Squamish Nation, North Vancouver or Lions Bay.
WORKING CONDITIONS & TERMS
This is a permanent, in-person, part-time position (22.5 hrs per week) that works 3 days Monday, Tuesday and Thursday or 4 shorter days Monday to Thursday. The role is based in the Foundation office, which is located in West Vancouver. Remuneration will commensurate with experience. Salary range is $40,000-$43,000 per year plus benefits including extended health and RRSP matching program.
